How to Set Up and Work with OKRs in StrategyFrame
This guide explains how to set up the necessary prerequisites for working with OKRs (Objectives and Key Results) and how to manage them effectively within your StrategyFrame board.
Prerequisites
- You must have Company Admin (Mandanten-Admin) rights to create teams.
- Access to the Administration menu.
- Access to the specific StrategyFrame board you wish to configure.
Part 1: Setting Up Teams
Before you can work with OKRs, a team must be created and assigned. Without an existing team, OKRs cannot be saved in the OKR or OKR-PPM tool.
- Navigate to the Administration menu on the left side navigation bar.
- Click on Teams.
- Check if a team already exists (one might have been created when the client was set up).
- If no team exists, you must create a new team.
- (Optional) Add users to the team. This step is recommended but can be done later.
Part 2: Assigning Teams to a Board
Once a team exists, you must link it to your StrategyFrame board.
- Go to your StrategyFrame.
- Click on the Edit Icon (pencil icon) to open the Board Settings.
- Locate the field Assigned Teams (Zugeordnete Teams).
- Select the teams relevant for this board.
Tip for Single Boards: If you only have one StrategyFrame, you can assign multiple teams here. In the OKR area, you will select a "Group Team" (top-level hierarchical team) to display its OKRs. You can switch between teams using a button or view them in the OKR-PPM tool.
Recommendation for Multiple Boards: If your company uses multiple different frames, it is recommended to assign only one specific team per board in the Board Settings. This automatically marks that team as selected, eliminating the need to choose it manually within the frame.
Part 3: Creating and Managing OKRs
Navigate to the Objectives and Key Results (OKRs) area within your frame. The process is divided into two main steps: Brainstorming and the OKR Table.
Step 1: Brainstorming
This step allows you to draft initial thoughts using sticky cards and images.
- Check the dropdown menu in the top right corner of the OKR field.
- Ensure the correct team is selected.
- Use the brainstorming tools to gather your ideas.
Step 2: OKR Table and Generation
After brainstorming, proceed to the OKR table. You can generate OKRs using AI.
Crucial Note on Language: The language of the generated OKRs depends on the interface language selected in the top right corner of the tool. If you want OKRs in English, you must select English as the tool language before generating, even if your brainstorming notes are in German. The AI will generate OKRs in the currently active tool language.
- Check the Language Selection in the top right corner and set it to your desired output language.
- Click Generate from Brainstorming (Generieren aus dem Brainstorming).
- The AI will consider notes from the Brainstorming area to generate OKRs.
- Once generated, the OKRs will appear in the table.
- Review the generated OKRs. On the far right, you have two action buttons:
- Accept: To keep and save the OKR.
- Remove: To delete the OKR.
Important: You must accept the OKRs you wish to keep. Unaccepted OKRs will not be saved.
Once accepted, OKRs are saved and can be edited further. They will also appear in the OKR PPM Tool under the corresponding team.
Step 3: Action Areas
If your Action Areas are currently empty, your accepted Objectives will be automatically transferred there, allowing you to continue working with Action Packages.
